Privacy Notice

This notice explains how Gear Radar Digital Solutions ("we", "us") uses personal information collected through this website, www.gearradar.co.uk. We are based in Greater Manchester, United Kingdom, and we handle personal information in line with UK data protection law (UK GDPR and the Data Protection Act 2018).
1. Who is responsible for your data
Gear Radar Digital Solutions is the controller of the personal information described here. You can contact us about privacy at info@gearradar.co.uk.
2. What we collect
When you use our contact form we collect:
- your name and email address;
- your phone or WhatsApp number and business name, if you choose to give them;
- the service you are interested in and the message you write;
- the language you were viewing the site in and the date and time of your enquiry.
If you contact us directly by WhatsApp, phone or email, we receive the details you share in that conversation.
Cookies and similar storage
We only use optional cookies if you tap Accept on our cookie banner. If you tap Reject, or make no choice, none are set.
- Google Analytics (optional) – Google Analytics cookies tell us how visitors find and use our site (for example which advert, social post or link brought them, and whether they went on to sign up or pay). Google processes this data for us; see how Google uses data from sites that use its services.
- Google Ads (optional) – on some service pages, Google Ads cookies help us measure whether our adverts lead to visits and sign-ups. Google acts as an independent controller for this data; see how Google uses this information.
- Partner code (optional) – if you arrive through a partner's link, we remember their code in your browser for 60 days so they get credit if you sign up.
- Campaign link (optional) – if you arrive from one of our social posts or adverts, we remember which one in your browser for 30 days and save it with your order, so we know which posts bring customers.
- Essential settings – your chosen language, currency and cookie choice are stored in your browser so the site works the way you asked. These cannot be switched off.
We count page visits with GoatCounter, a privacy-friendly service that sets no cookies and does not identify you; it records only the page viewed, the referring site, and your general country, browser and screen size. The site also loads fonts from Google Fonts, which means your browser connects to Google's servers to download them.

3. Why we use it
- To reply to your enquiry and send you an automatic confirmation email.
- To prepare a quote and, if you become a client, to provide our services.
Our lawful basis is our legitimate interest in responding to people who contact us, and, where you go on to use our services, taking steps to enter into a contract with you. We do not send marketing emails unless you ask us to.
Service usage statistics (clients)
If you use Tala, we keep simple usage numbers for each client: how many messages you send each day, the type of message (for example text, voice, photo, document or a command such as /jobs) and the date you were last active. We use these numbers only to keep the service running well, to understand which features are useful, and to spot clients who may need help. We never read, store or analyse the content of your messages for this. Our lawful basis is our legitimate interest in running and improving the service, and only our team can see these numbers.
4. Who we share it with
We do not sell your data. We use trusted service providers to run our business, who process data on our behalf:
- n8n – the automation platform that receives form submissions and stores enquiries;
- Google Workspace – our business email;
- Telegram – used to notify our team that a new enquiry has arrived;
- GitHub – hosts this website.
- Google Analytics – measures how visitors use the site, only if you accept cookies;
- Google Ads – measures our adverts, only if you accept cookies.
Some of these providers may process data outside the UK. Where they do, we rely on the safeguards they provide, such as the UK International Data Transfer Addendum or equivalent protections.
5. How long we keep it
We keep enquiries for up to 24 months after our last contact with you, unless you become a client, in which case we keep records for as long as needed to provide our services and meet legal obligations. Daily usage statistics (see section 3) are kept for up to 12 months.
6. Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to object to or restrict how we use it, and to data portability. To use any of these rights, email info@gearradar.co.uk. We will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
7. Google user data (Tala, your personal assistant)
Tala, your personal assistant (formerly AI Executive Assistant, also called Gear Radar Assistant), lets you link your own Google account so the assistant can help you from Telegram or WhatsApp. It only asks for access when you choose to connect, and Google shows you each permission before you agree.
What Google data we access
- Gmail, send (gmail.send) – permission to send an email from your account. We use it only after the assistant shows you the draft and you tap Confirm.
- Google Calendar events (calendar.events) – the title, time and location of your events, so the assistant can tell you your schedule and travel times, and permission to add an event when you ask and tap Confirm.
- Google Drive, files created by the app (drive.file) – only the files the assistant saves for you in a "Gear Radar Assistant" folder. We cannot see any other files in your Drive.
- Your Google account email address and the sign-in tokens Google gives us when you connect.
We do not request access to read your Gmail inbox. If you want help with an email you received, you can paste or forward its text into the chat yourself.
We do not create aggregated or anonymised data sets from Google user data.
How we use it
Google user data is used only to provide the assistant's features to you: answering your questions about your calendar, preparing your morning brief, sending emails and adding events you have confirmed, and saving files you asked to save. It is never used for advertising, marketing, credit or lending decisions, or any other purpose. No email is sent and no event is created without your confirmation.
Who we share it with
We do not sell or transfer Google user data to data brokers, advertisers or any other third party. It is passed only to the service providers needed to run the assistant for you, and only for that purpose:
- n8n – the automation platform that runs the assistant and stores your sign-in token and settings;
- Google Gemini API – the AI service that reads the relevant event details, or the text you send in the chat, to write the answer for you. We use the paid Gemini API, which under Google's terms does not use our requests to train its models;
- Telegram or WhatsApp – to deliver the assistant's reply to you in the chat you chose.
We may also disclose data if required by law.
How we protect it
All data moves over encrypted connections (HTTPS/TLS). Your Google sign-in tokens are stored only in our automation platform's private database, which is hosted on encrypted infrastructure and can be accessed only by Gear Radar's administrator account. Each assistant request can only use the Google account of the user who sent it. Our staff do not read your emails, events or files.
How long we keep it and how to delete it
- The content of your calendar events and Drive files is not stored by us. It is fetched when needed to answer you and discarded once the reply is sent.
- Drafts of emails and events you asked for, your reminders, contacts and settings are kept while your plan is active, and deleted within 30 days after you cancel or when you ask us to.
- The assistant keeps only your last few chat messages so it can follow the conversation. Send /reset at any time to clear them.
- Your Google sign-in tokens are kept while your Google account is connected. They stop working as soon as you remove access at myaccount.google.com/permissions, and we delete them within 30 days after you cancel your plan.
- To have your tokens and all assistant data deleted at any time, email info@gearradar.co.uk and we will delete it within 30 days.
Limited Use and AI
Gear Radar Assistant's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements. We do not use Google user data to develop, improve or train AI or machine learning models, and we do not transfer it to any AI service that uses it to train models.
8. Changes
We may update this notice from time to time. The date at the top shows when it was last changed.
